Job Title: Executive Assistant
FLSA Status: Non-Exempt
Location: San Diego
Department: Administration/Audit
Reports to: Lead Executive Assistant
SUMMARY OF RESPONSIBILIES
Provides general office support with a variety of clerical activities and related tasks. The Executive Assistants will perform a variety of administrative and clerical tasks. Duties of the Executive Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Supporting designated partner with various duties.
QUALIFICATIONS
To perform this job successfully, the incumbent must be able to perform each essential key competency function satisfactorily. Must be able to work a flexible schedule which includes 55+ hours a week during busy season
KEY COMPETENCIES:
- Assigned to designated partner to assist in their scheduling and contacting clients
- Taking and recording minutes for meetings
- Assist with the team’s project scheduling
- Setting up new clients and maintaining profile updates in the CRM system
- Preparation and drafting of formal letters and forms as needed by partners and managers
- Reviewing, scanning and assembling tax returns, when needed.
- Support the process of editing and printing of client reports.
- Preparing and completing billing for designated partner
- Assist with client billing and collections
- Scheduling meetings and continuing education seminars
- Preparing expense reports
KNOWLEDGE AND SKILLS REQUIREMENTS:
- Familiar with Accounting related software such as CCH Axcess would be preferred
- Proficient with Microsoft Office Suite (Team, Word, Excel and Adobe)
- Excellent oral and written communication skills
- Proactive attitude and comfortable with in a team environment supporting team from across offices
- Organized and have time management skills
Compensation dependent on experience $27-$30/hr
