Job Title: Executive Assistant
FLSA Status: Non-Exempt
Location: La Jolla
Department: Administration
Reports to: Lead Executive Assistant

Provides general office support with a variety of clerical activities and related tasks. The Executive Assistants will perform a variety of administrative and clerical tasks. Duties of the Executive Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Supporting designated partner with various duties.

Must be able to work a flexible schedule which includes 55+ hours a week during tax season

KEY COMPETENCIES:

  • Assigned to designated partner to assist in their scheduling and contacting clients
  • Taking and recording minutes for committee and manager meetings
  • Preparation and drafting of formal letters and forms as needed by partners and managers
  • Reviewing, Scanning and assembling tax returns and amended tax returns
  • Contacting clients for E-file forms and missing client information
  • Managing client data and intake through various software
  • E-Filing for designated partner
  • Preparing and completing billing for designated partner
  • Entering client expenses for billing purposes
  • Reconciling and printing reports for daily deposit
  • Generating any reports needed by staff
  • Managing client collections
  • Scheduling meetings and continuing education seminars
  • Entering expenses and collecting receipts for partner expense reports

 KNOWLEDGE AND SKILLS REQUIREMENTS:

  • Familiar with Accounting related software such as CCH Axcess would be preferred
  • Working knowledge of Microsoft Office Suite
  • Excellent oral and written communication skills

Compensation dependent on experience $24.50-$31/hour
