SUMMARY OF RESPONSIBILITIES

This role provides day-to-day support to Duffy Kruspodin’s sales and marketing efforts, with a focus on helping the firm attract and retain clients and ensuring prospects have a strong first experience with the firm. The Sales Support Specialist helps manage incoming leads, coordinate outreach and follow-up, support client proposals and sales materials, maintain accurate CRM and sales data, and ensure opportunities move forward smoothly from initial inquiry through early-stage qualification.

This is an early-career role designed for a recent marketing, business, or analytics graduate who is organized, curious, and excited to learn how growth happens inside a professional services firm. The role works closely with the Chief Growth and Marketing Officer and a collaborative marketing team, offering strong visibility and meaningful hands-on experience.

The ideal candidate is comfortable working with modern tools and data and is interested in using AI and automation to improve workflows, increase efficiency, and support business development. To be successful in this role, you should have strong communication skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-moving environment.

QUALIFICATIONS

To perform this job successfully, the incumbent must be able to perform each essential key competency function satisfactorily. The incumbent must be able to work a flexible schedule which includes 55+ hours a week during busy season.

Seniors must possess Bachelor of Accountancy as well as a CPA or EA license.  This may be substituted with equivalent years of experience and continued education in some cases.

KEY RESPONSIBILITIES:

  • Own the inbound lead queue: review new leads daily, ensure required fields are complete, and route/assign to the appropriate client owner using defined criteria.
  • Support timely follow-up across the team by creating tasks/reminders, monitoring responsiveness, and escalating stalled opportunities when needed.
  • Respond to prospective client inquiries, schedule meetings and sales appointments, and help ensure a professional, positive first experience with the firm.
  • Support early-stage qualification by collecting key information, maintaining lead status updates, and ensuring momentum through the first stages of the sales process.
  • Coordinate client proposals, estimates, and sales materials (templates, version control, routing for review, and timelines).
  • Maintain accurate CRM records (leads/contacts/companies/opportunities), including data hygiene, deduping support, and consistent lifecycle/lead status updates.
  • Track sales and marketing activity; compile performance metrics and prepare dashboards/reports for internal meetings (lead volume, speed-to-lead, follow-up, outcomes).
  • Support list development and prospect research using approved tools and databases, ensuring lists are accurate and segmented appropriately
  • Use AI tools and automation to streamline repetitive work, improve reporting consistency, and enhance lead management workflows (e.g., templates, summaries, categorization, reminders).
  • Collaborate with marketing and business development team members to support growth initiatives and special projects.
  • Attend occasional events or networking opportunities to support relationship-building and lead generation, as needed.
  • Help maintain simple playbooks/checklists for lead handling, data hygiene, and reporting so processes are consistent and scalable.

KNOWLEDGE AND SKILLS REQUIREMENTS:

  • Bachelor’s degree in marketing, business, analytics, or a related field (or equivalent experience).
  • 1-2 years’ related experience (including internships).
  • Strong verbal and written communication skills, with a professional and service-minded approach
  • Highly organized with strong attention to detail, follow-through, and comfort owning a daily work queue.
  • Ability to manage multiple priorities and stay flexible in a fast-paced environment.
  • Comfortable working with data and reporting (spreadsheets, basic metrics, accuracy/QA mindset).
  • Proficiency with Microsoft Office tools (Excel, Word, Outlook), and confidence learning new platforms quickly.
  • Ability to handle client and prospect information with professionalism and discretion in a public accounting and advisory environment.
  • Experience with CRM systems and/or marketing automation platforms (HubSpot preferred) including lists, properties/fields, imports, and basic reporting.

PREFERRED/NICE TO HAVE:

  • Familiarity with SLA-based workflows (tasks, reminders, follow-up tracking).
  • Experience experimenting with AI tools (ChatGPT, Copilot, etc.) to support research, writing, and workflow improvements.
  • Ability to identify opportunities where AI/automation can improve outreach, reporting, and internal workflows.
  • Exposure to BI tools (e.g. Tableau) or basic SQL (helpful, not required).

Compensation range for this opportunity is $27-$29/hr.
